JOB DESCRIPTION
Position Title: Asst. Office Manager
Position Reports To: Office Manager
Primary job responsibilities and duties include but are not limited to:
Assists the Office Manager in their assigned responsibilities for managing all administrative and office functions in adherence to company guidelines.
Specific Duties will be:
HR Responsibilities 30%:

Ensures that weekly payroll is processed accurately and on time.

Checks ADP payroll register against internal payroll tracking (excel spreadsheet)

Acts as gatekeeper for Company policies on compensation, bonuses, incentives, expenses and reviews discrepancies with Office Manager.

Performs employment verifications.

Files all information relating to employee files in a timely and accurate manner.

Updates tracking program utilized for absentee and vacation information.

Maintains a complete understanding of all union contracts and dues for plant and service center employees.

Undertakes personal development and continuing education of industry knowledge and all internal operations and processes of a plant.
Administrative Responsibilities 30%:

Performs AP coding duties, follow up on disconnect notices, respond to AP problems

Researches payables in AP Citrix and Access on a weekly basis.

Files payables on a timely and accurate basis.

Develops detailed knowledge of IPC, Smartnet Utility, route settlement procedures, and daily route check-in. Analyze and determines applicable usage for reports and how they relate to each department. Assists in training personnel where to find and make application of reports.

Performs special projects as assigned by Office Manager.
Accounts Receivable Responsibilities:

Assists in the collection efforts of the Accounts Receivables Clerk(s) as deemed by the Office Manager, to attain and maintain company assigned collection percentage.
Hours:
Monday-Friday
7:30-4:30 p.m.
Occasional overtime required.
